Fees and Charges Policy

What you pay, when you pay it, and how we handle refunds.

Purpose

This policy explains how TalentMed sets, collects, and refunds fees for our courses. It covers tuition, administrative and service charges, payment options, refund rules, financial hardship, and the cooling-off period.

It applies to every student, including those paying by instalment, those using VET Student Loans for HLT57715 Diploma of Practice Management, and those whose fees are paid by a third party.

How we set our fees

Our fees reflect the cost of delivering nationally recognised training and assessment, including trainer and assessor time, learning materials, our learning management system, student support, and administration.

Every fee that applies to your enrolment is set out in the enrolment agreement you receive before you pay anything. You will know the total cost before you commit.

Tuition fees

Current tuition fees for each course are published on the relevant course page:

Your enrolment agreement records the exact fee payable for your enrolment, including any discounts or instalment arrangement.

Administrative and service fees

These fees apply where the service is requested outside the standard course.

Recognition of prior learning (RPL) fees

RPL is a separate pathway. The fees below apply when you seek recognition for existing skills and knowledge, rather than enrolling in the full course.

  • RPL application fee: $299 (non-refundable)
  • RPL assessment fee: $199 per unit of competency (non-refundable)

How you can pay

We accept the following payment arrangements for diploma enrolments:

  • Upfront payment. Pay the tuition fee in full at enrolment. Direct debit, credit card, or bank transfer.
  • Instalment plan. Available for diploma-level courses. Three equal payments scheduled across the course.
  • VET Student Loans. Available for HLT57715 Diploma of Practice Management only. See the VET Student Loans Policy below.
  • Third-party payment. Where an employer, agency, or third-party loan provider pays your fees on your behalf, finance approval is required before enrolment proceeds.

The BSBMED301 short course does not offer instalment plans because of its short duration. Payment is upfront.

When you pay

Payment Due If not paid
First payment Within 14 days of the invoice date. Enrolment does not proceed.
Subsequent instalments Within 3 days of the invoice date. Course access may be suspended until payment is received.
Missed payments Three missed invoices (consecutive or over the life of your enrolment). Automatic withdrawal from the course.

If you are having trouble making a payment, contact us before the due date. We can often adjust the arrangement. See the Financial hardship section below.

Cooling-off period

You have a 14-day cooling-off period from the date you first access your course.

If you withdraw within the cooling-off period, you receive a full refund, less the $295 administrative fee and any third-party resource costs already incurred on your behalf.

Cooling-off refunds are processed within 14 days via reverse payment or EFT.

Refunds after the cooling-off period

After the 14-day cooling-off period, refunds are not available for fee-for-service or instalment-plan students, except where TalentMed defaults on its obligations (see below) or where special circumstances apply.

Special circumstances. You can apply in writing for consideration where serious illness, bereavement, or other extraordinary personal circumstances prevent you from continuing. Supporting documentation is required. Outcomes are decided on a case-by-case basis.

If you use VET Student Loans (HLT57715 only). You are liable for the loan amount for any unit of study you remain enrolled in on the census date. Withdraw before census and no loan liability is incurred. Full detail in the VET Student Loans Re-crediting Policy.

If you use a third-party loan. Your refund entitlement is governed by your loan provider. Contact them directly for refund requests.

If TalentMed cannot deliver your course

If TalentMed is unable to deliver the course you enrolled in, whether because of a regulatory action, business closure, or other operational failure, you are entitled to:

  • A full refund of fees you have paid for training you have not received, within 15 business days, or
  • Placement in an equivalent alternative course at no additional cost.

You may choose which option you prefer.

Prepaid fee protection

Where prepaid fees held by TalentMed for your enrolment exceed $1,500 at any point, those funds are protected in accordance with the Standards for RTOs 2025, Compliance Requirements Clause 18. This protects your fees against the unlikely event of TalentMed being unable to continue delivery.

Our standard instalment plans typically keep the amount held at any time at or below this threshold. If your arrangement requires holding a larger sum, we will confirm the specific protection measure in writing as part of your enrolment agreement.

Financial hardship

If financial hardship is affecting your ability to continue your studies, talk to us early. Where appropriate, we can arrange:

  • A revised payment schedule that spreads instalments over a longer period
  • A temporary pause on payments while you stabilise your situation
  • Information about external financial counselling and assistance services

Apply in writing to enrol@talentmed.edu.au with a short description of your circumstances. We treat all applications confidentially.

Government funding

The only Commonwealth funding arrangement that applies to TalentMed courses is VET Student Loans for HLT57715 Diploma of Practice Management.

Other government-subsidised training is not currently available for our courses. If a new subsidy arrangement becomes available, we will update the course page and notify enrolled students.

If your course or our service changes

If a training product on our scope is superseded or removed from the National Register, we will let you know as soon as practicable and work with you to either complete the current version within the allowed transition period, or transfer to the replacement product. You will not be financially disadvantaged by a transition we initiate.

If a material change to our operations affects the fee arrangement for your enrolment, we will notify you and explain your options.

Disputes about fees

If you disagree with a fee, a refund decision, or a payment arrangement, you can raise it through our complaints and appeals process. Appeals about fee decisions are handled within 20 working days where practicable, with procedural fairness, and with access to independent review at no or low cost if the matter is not resolved internally.

Record keeping

We maintain records of:

  • All fees charged, collected, and refunded
  • Payment receipts and transaction history
  • Any outstanding amounts
  • Separate ledger accounts for VSL and fee-for-service funds

Records are kept for the periods required by the Standards for RTOs 2025 and applicable funding contracts.

When this policy is reviewed

This policy is reviewed annually and sooner whenever changes to our courses, fee schedule, or the regulatory framework require it.
